Phone Intake Training Guide

For front desk staff

For front desk staff

Consistent, compliant, repeatable

The phone rings, and the caller has already compared your practice to two others before dialing. What your front desk says in the next sixty seconds decides whether this becomes a booked consultation or a call you never hear from again. This guide gives you the opening script word for word, along with the questions that uncover what the caller actually needs before you ever mention price. It connects directly to the Objection Handling guides for the moments a caller hesitates. Learn the opening script first, then keep it by the phone.

Why This Matters

The first call is the practice’s first impression.

Most patients who call a hair restoration practice are already nervous — dealing with something personal they’ve possibly avoided for years. The way your front desk answers the phone either opens that door or closes it. Your intake script is not just about gathering information. It’s about building trust in under two minutes, qualifying the lead, and getting them booked.

Tip

Keep a mirror at the front desk. A smile is audible — patients can tell if you’re smiling when you answer, and it changes the entire tone of the call.

“We converted 3 additional consultations per week just by changing how we answered the phone — nothing else changed.”

First Impressions Script

The Opening Script: Word for Word

Below is the word-for-word opening script that top-performing practices use. Don’t improvise in the first 15 seconds — a scripted, warm opening earns you the right to go off-script later in the call. Read it aloud three times before your next shift. It should feel natural within a day.
⚠️ IMPORTANT

Do not use the patient’s name until they’ve given it to you voluntarily. Asking “May I get your name?” before they’ve introduced themselves can feel intrusive and signals that this is a sales call, not a patient conversation.

🩺 CLINICAL NOTE

Practices that use scripted intake with physician-specific language (“Dr. [Name] specializes in NeoGraft and follicular unit procedures”) see 22% higher consultation-to-consult-kept rates. The physician’s credentials create immediate clinical credibility.

SAMPLE SCRIPT

“Thank you for calling [Practice Name], this is [Your Name] — how can I help you today? [Listen fully, then:] “I’m so glad you called. Dr. [Name] has helped hundreds of patients in exactly that situation. I’d love to get you set up with a complimentary consultation so you can see your options in person. Do you have a few minutes to answer a couple of quick questions first?”

✓ Knowledge Check

A patient says: “I’m just gathering information right now.” What is the best response?

A

“That’s totally fine — let me transfer you to our website.”

B

“Absolutely! That’s actually the perfect place to start. Can I ask what brought you in today?”

C

“Okay, I’ll call you back when you’re ready to book.”

D

“We can’t give out information over the phone, but I can send you a brochure.”

Validating their pace puts the patient at ease and re-opens the conversation. Answering A, C, or D ends the call without a next step.
